Working with Aetna to simplify and enhance your workflow

Aetna is always looking for ways to simplify business processes and improve your online experience, giving you access to the information you need most. So that’s why Aetna and Availity have teamed together to streamline the process and give you new tools, too. On the Availity provider portal, you can:

  • Validate eligibility and benefits
  • Submit claims, send supporting documentation and check status
  • View remittances and EOB statements
  • Request authorizations and referrals
  • Access Aetna-specific resources and applications through a dedicated payer space
  • Verify and update your information in the provider directories
  • Access Aetna joint venture health plans

The Availity Provider Portal offers secure online access to Aetna and multiple health plans. As our changes emerge, you’ll see Aetna and Availity working together to provide you with the right education, provider engagement, and training. Everything you’ll need to get started on Availity or continue working with Aetna on Availity will be right here. So be sure to bookmark this page and check back often!

Q: Who is Availity?
A: Availity was formed in Jacksonville, Florida, as a joint venture between Florida Blue (formerly Blue Cross and Blue Shield of Florida) and four other payers to improve efficiency and reduce administrative complexity in the healthcare industry, with the ultimate goal of improving healthcare outcomes. Aetna is collaborating with Availity to develop and improve online tools for healthcare providers.

Q: Why does Aetna want me to use the Availity Provider Portal?
A: Aetna and Availity are working to streamline healthcare processes wherever possible. Aetna is working with Availity to help providers access secure information and submit transactions online. By using the no-cost, multi-payer Availity Portal, you can access information and transactions from Aetna and other payers on one website, with only one login and one password to remember.

Aetna and Aetna Joint Venture Health Plans will be using the Availity Portal for eligibility and benefits, claims status, authorizations and referrals, EOBs, and remittance advices. More features will be added during the coming months. It will also feature an Aetna-specific payer space, which offers providers direct access to resources from Aetna and other important applications.

Q: Why did I receive a request from Aetna to register for the Availity Provider Portal?
A: Availity will become Aetna’s provider portal on April 30, 2020. So, if your organization is not registered, do it today to get the newest tools, resources and customized training opportunities. If you're already registered with Availity for another payer, you're all set. You can use your existing log-in credentials to get started with Aetna. We recommend that you and other users in your organization begin using Availity for all your Aetna transactions to see its advantages for yourself.

Q: Is there anything I should know before I start submitting Aetna claims through the Availity portal?
A: Availity’s professional and facility claim submission fields are easy to use and navigate. The fields are the same as you’re used to seeing on their existing portal, just presented a little different. You’ll want to take a snapshot of your submitted claims dashboard from their existing portal before you move over to Availity. That way, you can keep track of what you’ve already submitted. No worries! You‘re able to immediately start checking claim status for those you submitted on the other portal.

Q: Are there big differences in submitting and inquiring on precertifications?
A: Submitting and inquiring about precertifications has never been easier! The Availity authorization/referral dashboard has everything you need in one spot. It allows you to:

  • Quickly search and check status and then pin the response details to your dashboard
  • View or print detailed information
  • Add attachments to incomplete authorization or referral requests (coming soon for precert add)
  • Update authorization or referral requests

Q: I’m an Aetna PWS Electronic Remittance Advice (ERA) user. Do I need to re-enroll on Availity?
A: Aetna is reaching out to their PWS ERA users to make the transition easy. Be on the lookout for a letter from them that will walk you through the process. Aetna will also be making phone calls to some providers to help them work through this change. Stay tuned!

Don’t forget! If your organization already has an Availity account, you do not have to register again to start utilizing services that are currently available for Aetna providers.

Tip: Before you start, make sure you have this information handy:

  • Basic information about your practice, including your federal tax ID and NPI.
  • The name of the administrator in your office who’ll need to grant and maintain access to Availity for your entire organization. Typically, this is an office manager.
  • The name of someone with the legal authority to sign agreements for your organization. Typically, this is an owner or senior partner .

  3. After you complete your registration, Availity will send you emails that include your next steps and temporary password. You may then begin adding other users for your organization.
